The Democracy Cycle is a new commissioning and development program designed to support new works that explore themes relating to the nature, practice, and experience of democracy. The Democracy Cycle’s hope is that the commissioned projects will enrich and expand discussion of and participation in democracy - be it in the national, state, regional, or hyperlocal community realm - as it is practiced in the United States and worldwide. The Democracy Cycle is a collaboration between the Perelman Performing Arts Center (PAC NYC) and Civis Foundation, and is made possible by generous support from Civis.

Position: Contract/freelance Seasonal, 10-15 hours/week.
Compensation: $35/hour
Start date: March 2025 start-date preferred, into December 2025.

Remote, with exception of the 2-day panel in NYC in September 2025. (If the Seasonal Associate is local to NYC, there is opportunity for a hybrid work situation.)

The Seasonal Associate supports the Director of The Democracy Cycle in the review process and administration of this commissioning and development program, managing communications with artists, readers, and panelists as well as supporting the Director with operations for the overall program.

The Seasonal Associate for The Democracy Cycle will be extremely organized, a clear communicator, and self-starter able to work in partnership with the Director and independently in a remote work paradigm, except for the in-person Panel. The Seasonal Associate must have relevant experience supporting similar processes using Submittable in other Open Calls or within grant application processes in foundations, through clear communications and tracking. The Seasonal Associate will also be responsible for assisting, as necessary, with other elements of The Democracy Cycle program which may include researching new avenues of disseminating the next Open Call, updating the Open Call materials, and updating the Submittable site for the next Open Call.

Your key responsibilities:

Support Director of The Democracy Cycle to communicate with artists, Readers and Panelists in support of TDC’s 2025 Open Call, its review process, and in the program’s overall operations.
Working within Submittable, assign proposals to reviewers and panelists, track evaluations, and pull reports, and help prepare the next Open Call application materials.
Support applicants via answering email inquiries regarding the program from artists. (Technical questions may be referred to Submittable)
Support Director, readers and panelists in the application and evaluation processes, including during the 2-day panel.
Support Director in providing post-commission support that facilitates the commission process and its reporting requirements.
Maintain and update electronic commissions records, and project development records through project management software, and spreadsheets.
Working within Submittable, make use of training tools provided by that platform and share knowledge with Director.
Generate reports of program data and assist with special projects as needed.
Assemble briefing documents and other supplemental materials to prepare Director and Working Group members for Working Group meetings.
Support the development of presentations for Working Group, PAC NYC and Civis leadership and Board, and other partners.
Provide in-person support to Director and Panel during 2-day panel process in September 2025.
May be assigned other related duties as requested.

What it takes to be successful in the role:
At least 3-5 years’ experience in foundation, corporate, government and/or individual grantmaking or commissioning programs.
Experience with Submittable, the review platform, from the client side.
Strong project management skills: demonstrated ability to prioritize and successfully execute tasks/projects
Intellectually inquisitive and motivated, and excited to be part of building a new commissioning and development program.
Strong skills in the Microsoft Office Suite (Excel, Word, PowerPoint), the G-suite (google docs and sheets), and a facility in developing new systems.
Excellent and diplomatic communicator experienced in working with a diverse group of artists and constituencies. Strong written and presentation skills are a must.
Highly organized and meticulous with application review process, and commission portfolio management. Consistent and exemplary attention to detail and organization.
Dynamic and motivated individual who is a team player and doesn’t look at any task as too small
